My Job Software Already Has AI: What It Can’t See

“My job software already has AI.”

We hear that on most calls, and it’s a fair point. A trade business with 20 or 30 people is already paying for job software, accounting software, a phone system and email. Nobody needs another login.

So if your job software already has AI, what’s left for anyone else to do?

Why Your Job Software Suddenly Has AI

In September, a job management platform used by plenty of Australian trade businesses added a built-in AI office assistant to its current paid plans. It drafts quotes, invoices and follow-ups from job history, and lines up actions for a person to approve. Earlier this year, another big field service software group launched an AI layer across its products, then added more than 100 AI enhancements in July. This month, a major Australian accounting software provider did the same.

That’s good news. Features that would have cost serious money to build a couple of years ago now come with a subscription you already pay for. It’s a big part of why our team at AI4Tradies changed how we work. We start with the ready-made tools already out there, and only build from scratch when your data or the way you run jobs calls for it.

What Built-In AI Does Well

Built-in AI is good at work that starts and ends inside one system:

·       Summarising what’s happened on a job before someone rings the client

·       Drafting a quote or invoice from the job notes and recorded time

·       Finding quotes that haven’t had a reply and preparing a follow-up

If most of your office’s time goes on that kind of work, switching it on and learning to drive it might be the right first step. We’ll tell you straight if it is.

What It Still Can’t See

Most of the hours we find in a trade office sit in the gaps between systems.

The Work Between Systems

Your job software knows the job. Your accounting software knows the invoice. Neither one rings the client back.

Take the quote that’s gone quiet at twelve days. The job software knows it was sent. The inbox has the client’s reply asking about a different tile. The phone log shows they rang Tuesday and nobody called back. Each system holds a piece of the story, and its AI only sees that piece.

Same with Tuesday’s site photos still on someone’s phone, or Friday’s job not invoiced because the variation was agreed by text.

The Work in Someone’s Head

The other big chunk is knowledge that lives with a person, not a system. Which builder wants a call before the invoice lands. Which supplier needs the order number on the docket. How your estimator prices a job two hours from the depot.

No software knows those things until someone sets it up to. That set-up is where most of the value sits, and it’s usually the part that gets skipped.

So Is the AI in Your Job Software Enough?

Sometimes, yes. Here are the questions we ask on a first call to work it out:

1.     Where does your office lose the most hours? Inside the job software, or chasing between it, email, phone and accounts?

2.     Has anyone been shown how to use the AI you already pay for?

3.     Who checks what the AI drafts before it goes to a client?

4.     Do you know where your customer information goes when an AI feature is turned on?

5.     If the platform changes its AI next year, who notices?

If the honest answers point back to one system, use what you’ve got. If they point to the gaps, “my job software already has AI” is only half the answer, and that’s where we come in.

How We Look at It

We don’t sell one product, so we’ve no reason to push one. We work in four steps:

1.     Find where AI fits. We look at where the hours sit across the whole office. If it’s not worth doing yet, we say so.

2.     Set it up right. We use the AI you already have where it does the job, and add ready-made tools for the gaps. We only build when your data or workflow needs it.

3.     Show your team how. Your office learns to drive and adjust the tools themselves, so they’re not waiting on us.

4.     Keep an eye on it. We watch how it’s going and tell you straight what it’s saving.

It’s like taking on an apprentice. We don’t make the apprentice. We pick the right one for the job, set them up properly, show your team how to work with them, and keep an eye on them after.

A Good Place to Start

Wondering whether the AI in your job software is enough? Start with your own numbers. Our capacity calculator takes a few minutes and shows the hours your office carries each week, where they sit and the first thing we’d look at.
