AI for Office Managers: What to Hand Over First

AI for office managers in trade business

If you run the office in a trade business, you already know where the day goes. The phone, the inbox, the quote that needs chasing, the tradie ringing to ask where the job sheet is. So when people talk about AI for office managers, the fair question is: which part of my day, and who’s checking it?

Here’s how we answer that with the office managers we work with: what to hand over first, what stays with you, and how you stay in charge of it.

Why It Usually Lands on Your Desk

In a lot of trade businesses, AI doesn’t arrive with a plan. Someone tries a tool to write a quote email, someone else uses a different one for job notes, and before long the office manager is the person everyone asks when something looks off.

That’s common right across Australia. CPA Australia’s 2026 Business Technology Report found 88% of Australian businesses use AI, but nearly three in ten give little or no guidance or oversight on how it’s used. The Tech Council of Australia’s October 2026 report on small and medium businesses found 16% of construction SMEs use AI, and it recommends more practical training and industry-specific advice to help businesses get started.

The way we read those numbers, plenty of trade offices are still working out where AI fits, and the person holding it all together is usually the office manager. So that’s where we start.

What to Hand Over First

The best first jobs are the ones you do the same way every time, that eat into your day, and that are easy to check. In a trade office, that usually means:

·       Quote follow-ups. The quote that’s gone quiet after a week. A ready-made tool drafts the nudge, you read it and send it.

·       “Where’s my job up to?” calls. Status updates drafted from what’s already in your job system, so you’re not looking up the same job three times a day.

·       Job notes and site photos. Turning what the crew sends from site into a tidy job record, ready for you to check.

·       Inbox sorting. Supplier invoices, new enquiries and customer replies sorted into the right pile before you open them.

Pick one. Not four. We’d rather see one job running properly in a few weeks than four half set up. And if none of these is worth handing over yet, we’ll tell you that too.

What Stays With You

Some things should stay in your hands, and good AI tools for office managers are set up around that:

·       Anything with money attached. Pricing changes, credit decisions, refunds and payment plans.

·       Unhappy customers. A complaint needs a person who knows the history.

·       Judgement calls. Which crew goes where, what gets moved when an emergency comes in, and when a customer needs a phone call instead of an email.

·       The final say. Nothing goes to a customer without your okay, unless you’ve decided a particular type of message is fine to send on its own.

This isn’t about doing less of your job. It’s about spending more of your day on the parts that need someone who knows the business, the customers and the crew.

How You Stay in Charge

Being in charge of AI doesn’t mean becoming the IT department. It comes down to three things.

You set the rules. What the tool can draft, what it can send, and what it has to check with you first. When something in the business changes, like a new price list or a new supplier, you change the rule. That’s where AI training for office staff matters. We show you and your team how it works in your own system, on your own jobs, not in a classroom.

You check the work. For the first few weeks, you see everything before it goes out. That’s usually when trust builds, because you can see exactly what it’s doing and fix it when it’s wrong.

Someone has your back. We don’t set it up and disappear. We keep an eye on how it’s going, sort problems early, and give you a straight account of the hours it’s giving back. If a tool changes or stops fitting, we work through it with you.

It’s the same way you’d treat any new starter, and it’s the idea behind our apprentice rule. You wouldn’t leave a first-year alone on site. AI gets the same treatment.

Where to Start This Week

Grab a notepad and, for one week, jot down every task you do more than five times a day. Those tallies are usually where the first job is hiding. Then have a look at how we get started so you know what the first few weeks involve.

Research cited in the Tech Council report found 54% of SME employees using AI reported higher job satisfaction. That’s the result we’re after: an office manager who gets home on time, with the important decisions still in their hands.
